Job Summary

Monday - Friday 8am - 5pm. Work locations can be either Baton Rouge, Lafayette, Monroe or Jackson, MS offices. The legal secretary provides a wide variety of administrative support to the Legal Services Department. The Legal Secretary works closely with the Legal Contracts Division to coordinate daily functions and aspects of every contract’s lifecycle .

1. Provides administrative support to lawyers and paralegals in the Legal Services Department.

2. Assists lawyers and paralegals in preparing and updating legal contracts, ensuring accuracy.

3. Documents, manages, and tracks in-process contract requests in a timely manner.

4. Ensures required approvals are received for all in-process contracts through the Contract Lifecycle Management (CLM) software.

5. Prepares all in-process contracts for signature through the CLM software in compliance with policy. This includes analyzing documents for appropriate handling, tracking document receipt and distribution, and creating correspondence.

6. Analyzes all contracts, upon execution, for term and renewal periods including calendar tracking and maintenance in an accurate and efficient manner, ensuring that the CLM software and contract library are neat and well organized.

7. Performs other duties as assigned or requested.


Job Requirements

Experience - 4 years secretarial experience with at least 2 years secretarial experience in a legal field

Education - High School or equivalent; Some basic college coursework

Special Skills -Strong computer skills including Word Processing; knowledge of legal terminology and syntax; knowledge of the content, organization, and format of legal documents and correspondence; strong interpersonal/human relations skills; good oral and written communication skills; good time management/prioritization skills.
