Our client, a Leading Global Merchant Bank, is seeking an experienced Executive Assistant to support their Founding Partner! This is a true 1:1 support role, providing personal assistance as needed. The ideal candidate has over 8 years of experience supporting a C – Suite executive preferably, out of the financial services. 8 - 15 years of EA experience (in the financial industry is a plus)
*including least 2 – 3 years of C suite experience
5 days onsite in Midtown East
Hours/Schedule: 8:30am – 6pm, flexibility as needed
Compensation DOE: $120 - 125k + heavy OT + discretionary bonus
*a lot of OT expected!
Duties:
- Manage and optimize the FP’s calendar to ensure maximum efficiency and effectiveness.
- Handle heavy scheduling tasks, with flexibility to adjust schedules as needed.
- Serve as a professional point of contact on behalf of the FP for managing phones and messages.
- Coordinate and book travel arrangements, including domestic and international trips, in collaboration with a travel agency or other team members.
- Book both public and private airfare confidently and accurately.
- Process business visas when required for travel.
- Submit and manage expense reports within required timeframes, ensuring compliance with company policy using Concur or similar platforms.
Qualifications:
- Bachelor’s degree required.
- 8–15 years of administrative assistant experience, with a background in the financial industry being a plus.
- Highly polished and professional demeanor.
- Exceptional oral and written communication skills.
- Ability to work independently, take initiative, own responsibilities, and ensure follow-through on assignments.
- Strong proficiency in Microsoft Office, particularly Outlook.
- Familiarity with Concur (expense processing system) is a plus.
