Job Description

We are thrilled to partner with our client, a global consulting firm, to find an outstanding Executive Assistant to the Chief Executive Officer. This is a rare opportunity to step into a high-profile role and truly have a “seat at the table,” contributing to the CEO’s success and supporting their dynamic, fast-paced world.

As the Executive Assistant, you’ll be the CEO’s right hand, overseeing daily operations and managing a highly detailed calendar with precision. Your role will include coordinating complex travel, acting as the CEO’s voice for business development efforts, and maintaining a high level of communication with clients and stakeholders.

Responsibilities

  • Work closely with the CEO at a strategic level, engaging with senior leaders and influential clients, while also mastering the finer details of high-stakes support.
  • Act as an extension of the CEO by reaching out to clients and contacts, setting up meetings, and filling travel days with impactful client interactions. Strong business acumen is critical to drive networking activities, and keeping client engagement top of mind.
  • Maintain and update the CEO’s calendar, including scheduling meetings and events, rescheduling appointments, and providing daily briefings with a high degree of discretion and confidentiality.
  • Keep the CEO ahead of the game by maintaining a dynamic weekly to-do list that includes real-time status updates on every call and meeting. Provide detailed documentation and key insights to support each interaction, ensuring the CEO is always prepared, informed, and ready to make impactful decisions.
  • Liaise on behalf of the CEO by reaching out to new and existing clients to establish meetings, and plan for business development travel including creating detailed itineraries.
  • Act as the voice of the CEO by crafting and sending emails directly from their email alias, ensuring each message reflects their tone, priorities, and professionalism.
  • Create customized pitch books and PowerPoint decks.
  • Organize important information and documents physically and electronically, including collecting documents, printing documents directly to the CEO’s home, coordinating a messenger service, and sending document packets to hotels.
  • Plan and execute events, manage vendor relationships, confirm guest lists, and handle special requests, and contribute to various foundation-related initiatives.
  • Plan all CEO travel (domestic and international) including arranging flights, hotels, and ground transportation, and create detailed itineraries for each trip.
  • Oversee CEO’s travel expenses, collect vendor invoices, and update the accounting department weekly.
  • Conduct research and create reports on various topics based on the needs of the CEO.
  • Take ownership of the company’s database by inputting, updating, and maintaining accurate records, ensuring critical information is always up-to-date and readily accessible.
  • Provide seamless travel support for the CEO’s family, handling every detail from booking itineraries to managing logistics with care and discretion.


Ideal Experience

  • 7-10 years of experience as an Executive Assistant to a C-suite individual.
  • Ability to work outside typical hours to accommodate the CEO’s needs, including weekends.
  • Exceptional customer service orientation with a strong attention to detail and accuracy.
  • Excellent communication skills, both written and verbal, with internal colleagues and external clients/candidates.
  • Ability to multi-task effectively in a fast-paced environment and reprioritize quickly as needs emerge.
  • Possess high energy, an unfailing sense of urgency, and a strong sense of integrity.
  • Ability to plan and anticipate the needs of the CEO.
  • Strong mastery of MS Office (including Word, Excel, Outlook, and PowerPoint). Microsoft Word and PowerPoint skills should be advanced for creating and formatting documents.
