Job Summary:
The Records Operations and Compliance Manager is responsible for leading records and information management processes, ensuring operational efficiency, regulatory compliance, and exceptional customer service. This role oversees warehouse operations, database integrity, and imaging processes while driving quality assurance and supporting financial and sales activities. The ideal candidate will have a strong background in operations, customer service, compliance, and database management.
Key Responsibilities:
- Records & Warehouse Management: Ensure compliance with SOC 2 standards, oversee warehouse personnel, optimize storage/retrieval processes, and manage vendor relationships.
- Customer Service & Sales Support: Provide first-level support, resolve service issues, train customers on Total Recall software, and assist the sales team in delivering tailored solutions.
- Database & Imaging Oversight: Maintain database integrity, manage digitization processes with QA, and perform regular audits to meet regulatory standards.
- Financial & Administrative Support: Assist with invoicing, collections, and customer queries related to billing and service charges.
- Training & Compliance: Conduct staff training on SOC 2 standards, safety protocols, and customer service, while ensuring compliance through regular audits and corrective measures.
- Process Optimization & Quality Control: Evaluate workflows to enhance efficiency, improve service quality, and ensure secure and accurate records management.
Qualifications:
- Bachelor’s degree in Information Management, Operations, Business Administration, or a related field; certifications (e.g., CRM, SOC 2) are a plus.
- 3+ years of experience in records management, operations, or customer service.
- Proficiency in records management software, databases, and Microsoft Office.
- Strong organizational and analytical skills with experience in sales support and invoicing.
- Proven ability to lead teams in a dynamic, customer-centric environment.
