JOOLA is for looking for an experienced Executive Assistant with a passion for growth and interest in pickleball!

As an official table tennis sponsor for three Summer Olympic Games and the official sponsor of pickleball's top athletes and the Professional Pickleball Association (PPA), the team at JOOLA combines its storied expertise with fresh perspectives to bring innovation to both sports. JOOLA creates a variety of equipment, apparel, and accessories for both table tennis and pickleball players, professional and recreational. This role requires a highly organized, proactive individual with exceptional business acumen, strong interpersonal skills, and the ability to manage high-level administrative tasks while contributing to the execution of key strategic initiatives. As the primary point of contact for the CEO, You will have the opportunity to work closely with senior executives, assisting with business operations, strategic planning, and project execution, while also managing key administrative functions.

Responsibilities:


Executive Support:

  • Provide comprehensive administrative support to the CEO, including calendar management, travel coordination, meeting scheduling, and general office management.
  • Act as a gatekeeper and liaison, managing communications between the CEO and internal/external stakeholders, ensuring a seamless flow of information.
  • Prepare and organize materials for meetings, including agendas, presentations, and reports, ensuring alignment with strategic priorities and company goals.
  • Draft, proofread, and edit correspondence, communications, and other written materials on behalf of the CEO, ensuring accuracy and professionalism.


Strategic & Business Acumen:

  • Assist in the execution of key strategic initiatives, ensuring that business goals and objectives are met and aligned with the company’s broader vision.
  • Coordinate with senior leadership and other departments to ensure that strategic priorities are understood and integrated into daily operations.
  • Gather insights and prepare executive summaries, presentations, and reports that highlight key metrics and provide actionable recommendations.


Project Management & Execution:

  • Lead and manage key projects on behalf of the CEO, ensuring they are executed efficiently and within established timelines.
  • Develop and maintain detailed project plans, monitor progress, track deliverables, and manage cross-functional teams to ensure alignment and timely completion.
  • Provide regular updates to the CEO on project status, issues, and milestones, and offer solutions to overcome any potential obstacles.
  • Identify opportunities for improvement in business processes, offering recommendations to increase efficiency and drive results.


Communication & Relationship Management:

  • Coordinate and attend high-level meetings, conferences, and events on behalf of the CEO, providing on-site support as needed.
  • Foster strong relationships across the company, ensuring open lines of communication and a culture of collaboration.


Operational Support & Reporting:

  • Assist with the preparation and presentation of reports, financials, and business performance metrics for executive meetings and board reviews.
  • Ensure that important deadlines, action items, and follow-ups are tracked and completed on time.
  • Support the CEO with high-level operational tasks, such as overseeing team alignment with key company goals, managing budgets, and ensuring the successful execution of major initiatives.


Experience:

  • 5+ years of experience supporting a CEO or senior executive, preferably in a fast-paced, high-growth organization.
  • Proven experience in supporting strategic initiatives, managing projects, and aligning business operations with organizational goals.
  • Strong understanding of business operations, financial principles, and strategic planning.


Skills:

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools (e.g., Asana, Trello, Monday.com).
  • Exceptional organizational and time management skills, with the ability to juggle multiple priorities, work under pressure, and meet tight deadlines.
  • Strong written and verbal communication skills, with the ability to prepare clear, concise reports and presentations for senior leadership.
  • Analytical mindset with the ability to interpret data, identify trends, and present business insights to inform strategic decision-making.
  • Ability to manage confidential and sensitive information with discretion and professionalism.
