Job Description

The Sales Contract Administrator will be responsible for reviewing, processing, and maintaining sales contracts and amendments. This role ensures all contracts are accurate, complete, and aligned with company approvals and policies. The administrator will collaborate with various internal teams to ensure proper contract execution and compliance, while maintaining records within the company's CRM system.


Key Responsibilities:

  • Review and process sales contracts and amendments to ensure accuracy and completeness.
  • Verify that contracts are legible, clean, and aligned with approvals.
  • Route contracts for signature based on pre-determined signature authority tiers.
  • Summarize and log contract information into the company’s CRM system.
  • Maintain accurate files, notes, and data in electronic files and trackers.
  • Perform ongoing CRM maintenance to ensure accurate reporting.
  • Generate reports, analyze data, and track contracting statuses using CRM system data.
  • Support internal auditing and monitoring efforts.
  • Analyze contract and pricing discrepancies, resolving and documenting findings.
  • Research equipment shipments, price loads, and contract renewals to complete related tasks.
  • Respond to requests regarding end-user pricing and contract eligibility.
  • Collaborate with contract administrators, pricing analysts, account executives, regional directors, fulfillment groups, and distributors to ensure proper end-user pricing and contract effective dates.
  • Participate in and prepare for contracting and pricing policy meetings.
  • Develop and continuously update departmental Standard Operating Procedures (SOPs).
  • Demonstrate understanding of business structure, processes, and policies.
  • Perform closing activities as needed and meet deadlines while updating clients with contract status.
  • Exhibit professional behavior with internal and external business associates consistent with company policies and practices.
  • Perform additional duties and projects as assigned.
  • Understand and be aware of the quality consequences related to improper performance of job responsibilities.


Minimum Qualifications:

  • Bachelor’s degree in a business-related discipline.
  • Minimum of 1 year of relevant experience in commercial sales contracting and pricing.
  • Intermediate proficiency in Microsoft Word and Excel.


Preferred Qualifications:

  • 2-4 years of experience in contract administration, preferably within the biotech/healthcare industry.
  • Strong communication and organizational skills.
  • Customer service-oriented mindset and proficiency with Microsoft Word, Excel, and Outlook.
  • Self-starter with the ability to multitask in a high-volume, dynamic team environment.
  • Previous experience with CRM systems or databases.
  • Experience in healthcare, biotech, or sales industries.
