Position Overview

We are seeking a detail-oriented and efficient Payroll Administrator to join our team. The Payroll Administrator will be responsible for processing payroll for employees, ensuring compliance with legal requirements, and maintaining accurate payroll records. This role requires a strong understanding of payroll systems, tax regulations, and employment laws. The ideal candidate will have excellent organizational skills, a high level of accuracy, and the ability to maintain confidentiality, while enabling accurate and timely payroll operations for 460+ employees across 19 states. The Payroll Administrator reports directly to the Benefits and Payroll Coordinator and supports organizational goals through analytical insights and collaboration with various departments.


Essential Duties

  • Process payroll for 460+ employees across 19 states, with a significant focus on Georgia-based staff.
  • Properly sets up employment profiles in Paylocity system for new hires and ensures profile matches the job offer.
  • Monitor timecards and ensure management and employee’s complete corrections prior to payroll processing dates in coordination with leadership. Escalate repeat offenders to HR leadership.
  • Act as the organization’s in-house expert for Paylocity, providing support and system access guidance to management and HR teams.
  • Complete accurate employment verifications within 48 hours of request for active employees, 72 hours response for inactive employees.
  • Run reports to support managerial decision making and employee programming and communication. Reports include monthly birthday, anniversary employee reports, reports for monthly compliance review for Valenz Health and any other reports management or HR requests.
  • Ensure compliance with paid sick leave laws and other state-specific regulations.
  • Oversee the distribution of annual W-2s to all active and former employees.
  • Prepare and analyze payroll-related KPIs on a weekly or monthly basis, delivering actionable insights to various departments.
  • Maintain an accurate and up-to-date employee database in compliance with company policies.
  • Review, validate, and process Payroll Authorization Forms (PAFs) for each pay period.
  • Collaborate with HR and management to ensure adherence to pay structures and company policies.
  • Verify the accuracy of payroll data for new hires, including direct deposit and tax information.
  • Assign appropriate paid time off (PTO) policies based on employee classification and status.
  • Conduct regular audits of payroll data and support external financial audits to maintain data integrity.
  • Ensure tax compliance and the accurate application of employment tax laws.
  • Implement and enforce payroll-related policies and procedures consistently across departments.
  • Identify opportunities to optimize payroll processes, improve operational efficiency, and streamline workflows.
  • Respond to employee payroll inquiries promptly, providing excellent customer service and support.
  • Collaborate with the Benefits Department to ensure accurate payroll integration with employee benefits programs.
  • Manage special projects and handle additional duties as assigned by leadership.
  • Respond to all inquiries for employment verifications.


Experience, Skills and Qualifications

  • 2-3 Years’ payroll administrator experience with a fast paced, high growth small business environments.
  • Proficiency with Paylocity required. Paylocity system advanced or expert users preferred.
  • Working knowledge and familiarity with accounting principles and advanced experience with budgeting.
  • Advanced level Excel and data analysis capabilities preferred.
  • Clear, concise and easily understandable written and verbal communication.
  • Critical thinking and problem-solving ability. Ability to work autonomously, but under direction.


Education & Credentials

  • Bachelor’s degree in business preferred, but not required.
  • Certified Payroll Professional Preferred.
  • Background in Accounting, CPA a plus but not required.


Travel Requirements

This position may require light travel 5% of the time. Travel may be required by foot, rail, car or plane.


Work Location & Schedule Requirements

This is a fully remote position, that will not require daily reporting to an office. You may be required to attend occasional in-person meetings or perform in-person payroll related tasks, depending on business needs. Travel may be required by foot, rail, car or plane. The company is headquartered in Atlanta, GA, therefore maintaining a working schedule of hours amenable to EST is required. All employees must be willing to work flexible schedules, including holidays, nights and weekends as dictated by business needs.


Physical Requirements

This job operates in a remote office environment with occasional in person interaction and meetings required. The position routinely uses standard office equipment such as computers – including virtual meeting software and various communications applications and telephones. Bending, lifting, and manipulating objects up to 25 lbs. may be occasionally required. Ability to perform computer work for 8+ hours a day in an office setting is required.
