Our client, an advertising services firm, is seeking a dedicated Temp to Perm Executive Assistant to support their CEO. This individual must have experience supporting a C-level executive and understands the importance of time management when dealing with a high pressure environment.
Hours: 7:45am - 5:30pm, flexible for OT as needed
*Fully Onsite
Location: Midtown
Responsibilities:
- Manage daily scheduling, coordination, and meeting logistics
- Coordinate domestic and international travel arrangements
- Process expense reports
- Prepare for all internal and external meetings by gathering materials from internal stakeholders, creating detailed agendas, and drafting preparation documents
- Keep the executive informed about ongoing projects, emails, mail, and other correspondence
- Support various projects and assist in organizing company off-sites
- Arrange car services for all travel needs
- Responsible for coordinating and managing all aspects of breakfast and lunch arrangements
- Handle family arrangements with discretion and heavy attention to detail
- Organize personal travel and tasks as needed
Requirements:
- 5-10 years of experience in an administrative role
- Prior experience working for a C-Suite individual
- Personable and flexible to adapt to last-minute changes in schedule
- Strong organizational and multi-tasking skills
- Meticulous attention to detail and accuracy
- Ability to handle sensitive and confidential information with discretion
- Knowledge of MS Office Suite and G-Suite applications
