POSITION SUMMARY

The Development Coordinator will be an integral part of the development team, overseeing the gift processing and donor acknowledgment process, managing departmental projects and timelines, and assisting with donor communications and prospect research. This role is designed for someone who is detail-oriented, highly organized, and eager to contribute to a dynamic fundraising team as the Conservancy embarks on an extensive fundraising campaign.


The Senior Development Coordinator will report to the Director of Development, and will collaborate regularly with the Senior Manager, Development Strategic Initiatives and the Senior Database Specialist to ensure the smooth operation of all departmental functions, with a focus on donor engagement and communication, data management, and project management.


LOCATION

This is a hybrid role based in our Long Beach office on Tuesday and Thursday, with remote work on most other days. Occasional ferry travel to Catalina is required.


KEY RESPONSIBILITIES

Gift Processing and Acknowledgements

  • Oversee the accurate processing of all gifts received online and via mail, including pledges, bequests, and stock gifts, ensuring all donations are processed in a timely manner.
  • Accurately prepare, issue, and archive personalized donor thank you letters, receipts, tributes, and other correspondence to donors.
  • Maintain and enter records of donations and donor interactions in the Raiser's Edge NXT database.
  • Coordinate with the Senior Database Specialist on gift reconciliation and ensure the integrity of financial reporting.

Project Management and Departmental Coordination

  • Serve as the primary project coordinator for the development department, ensuring that tasks and projects are completed on schedule and with precision.
  • Track project progress, manage timelines, and provide regular updates to internal stakeholders.
  • Work closely with the Director of Development to ensure alignment of departmental priorities and timelines using tools such as Monday.com or Asana.

Donor Communications

  • Prepare donor proposals and reports in consultation with development staff, ensuring alignment with donor interests and organizational priorities.
  • Assist in tracking and managing proposals and accurately enter data into the database.
  • Ensure donor communications are in line with overall fundraising strategies and goals.

Prospect Research and Data Management

  • Research prospects and prepare prospect research reports, identifying potential new donors and partners.
  • Input and update donor and prospect information in the Raiser's Edge NXT database to maintain accurate records of donor engagement.

Administrative Support

  • Assist with calendar management and the scheduling of internal and external meetings, including meetings with current and prospective donors.
  • Provide logistical support for meetings and events, including coordinating materials and ensuring appropriate follow-up.


QUALIFICATIONS

Skills & Abilities

  • Strong proficiency with donor databases, preferably Raiser's Edge NXT or other CRMs such as Salesforce.
  • Experience with project management tools such as Monday.com, Asana, or similar software.
  • Excellent written and verbal communication skills with the ability to craft clear, compelling proposals, reports, and donor acknowledgments and communications.
  • Strong organizational and time management skills including the ability to manage multiple tasks simultaneously and meet deadlines.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) especially mail merge.
  • Demonstrated ability to work both independently and as part of a team.
  • Passion for the Conservancy's mission and commitment to advancing our conservation, education, and recreation initiatives on Catalina Island.


Education & Experience

  • Bachelor's degree in business, or a related field, or equivalent professional experience.
  • At least 2 to 4 years of work experience preferably in a nonprofit development environment, with a focus on gift processing, donor relations, and data management.


COMPENSATION & BENEFITS

ESTIMATED STARTING SALARY RANGE:

$34.00 – $38.00 hourly, based on skills and experience.
