Executive Assistant, Prestigious Investment Bank, Midtown, NYC
Our client, a premier investment bank and advisory firm that specializes in the health and wellness consumer product space is looking for an Executive Assistant to support the C-Suite as well as help to manage the office. This is an exciting opportunity for someone who truly enjoys being the “go to” in the office for all their administrative needs, is very organized, detailed oriented with a warm engaging personality. An interest in overall health and wellness a PLUS. This is a hybrid position, in office Monday-Thursday with work at home Fridays. In the month of August employees work remote as well as work remote the last 2 weeks of December.
About the Job:
- Support the Senior Executives in the C-Suite with heavy calendar management and meeting scheduling in multiple time zones, understanding shifting priorities
- Arrange domestic and international travel arrangements on occasion (The executives are pretty self-sufficient with travel)
- Handle C-Suite and office expenses
- Be the “go to” in the office for all logistics; coordination of office needs including being the liaison for all external vendors/services including technology
- Coordinate office meetings, set up conference room for client meetings with appropriate materials, catering needs and tech
- Greet clients when they arrive and answer the phones
- Arrange special events, outings and dinners internal and external
- Order office supplies; send out Fed Ex, distribute mail
- Special ad hoc projects

About You:
- 2-3 years of experience as an Executive Assistant /Office Assistant in any industry. Candidates for the hospitality space highly desired
- Bachelor’s Degree
- Very detail oriented and organized with good project skills
- High level of integrity and discretion in handling all confidential information; high emotional and intellectual intelligence”
- Excellent Microsoft Office Suite skills; excellent written and verbal communication skills
- Team oriented and responsible; approachable with a warm engaging “client focused” personality
