Job Description Job Description An exceptional law firm in downtown Minneapolis is looking for a Legal Administrative Assistant with 2 years' experience to support their Energy team. Duties & Responsibilities: Proactively supports attorneys and paralegals by accurately preparing, formatting, revising and saving documents, letters, and memos using Office365, iManage (document management system), Kofax, and SharePoint Monitors deadlines and calendars, schedules meetings, etc. Prepares and e-files documents with various state and appellate courts, and energy commissions Assists assigned attorneys and paralegals with internal processes and procedures and administratively facilitates the practice of law, including maintaining multi-state licensing compliance and monitoring multi-state CLE reporting for attorneys. Exhibits outstanding client service orientation in greeting guests, scheduling meetings, and conducting telephone calls/conferences Creates, maintains and retires files in accordance with Taft’s Information Governance Policy Processes requests for payment and reimbursements; makes travel arrangements Actively supports the billing process, including entering attorney billable hours into the firm billing program, providing initial review and comments on BIMs, editing BIMs, obtaining, preparing and/or updating reports, preparing cover letters and/or emails, and following-up on client and attorney inquiries Produces excellent written communications with correct structure and grammar Requirements: 2 years’ experience with related legal work preferred Demonstrates a proficient command of the English language and of standard grammar rules Strong working knowledge of, and facility with, Microsoft Office programs and Kofax preferred Responds to requests with a sense of urgency and effectively prioritizes work Shows ability to adapt quickly to workplace stressors and to manage competing priorities Maintains client confidentiality Demonstrates sharp, consistent attention to detail, and ability to relay relevant discrepancies/inconsistencies Demonstrates excellent interpersonal skills, communication, professionalism and responsiveness to both clients and co-workers JO: 5537
