Pre-Litigation Client Case Coordinator
Our client, an Am Law 200 firm, is seeking a Pre-Litigation Client Case Coordinator who will be responsible for maintaining and distributing documents aligned with client requirements for internal use. This is a hybrid position that can be based in the firm’s Kansas City or Miami office.
RESPONSIBILITIES:
- Maintaining and organizing Client OneNotes, detailing specific protocol and procedures.
- Monitoring numerous email client boxes and updating the firm's CaseSmart Intake Form timely and accurately.
- Accurate and timely maintenance and upkeep of assigned client(s) data within the LCS database.
- Managing receipt and review of client documents; review and distribution of professional correspondence including uploading client documents for each matter to the appropriate extranet folder.
- Corresponding with appropriate agency (Federal and State) to obtain missing charge pages, Notice of Charge documents, and related filings; Accountable for performing research and initial discovery related to new charges by utilizing Firm and Client databases and other systems; and completing the Intake Code Sheet for each new charge to enable further processing.
- Pofessional and appropriate communication with all levels of client personnel, internal resources, external agencies, charging parties and their representation.
- Research additional Client systems, or outside systems, to garner information; ability to review information and discern gaps or additional data needed to meet attorney requests.
- Managing and submitting legal report requests to the Client per the Client's requested procedures based on attorney requests; including calendaring and tracking deadlines based on industry legal requirements and required deliverables.
- Responsible for appropriate brokering of client inquires and requests to appropriate firm resources, including attorneys, LCS management and internal corporate departments.
EDUCATION REQUIRED:
- High School Diploma or equivalent
EXPERIENCE REQUIRED:
- 5-10 years applicable work experience (with a focus on litigation support)
- Paralegal certification a plus
- Strong administrative and communication skills required
- Demonstrated ability to craft and follow multiple processes and protocols across several clients and data fields.
- Demonstrated proficiency with Microsoft Word, Microsoft Excel, web-based programs/ applications, and web-based research tools.
