Job Summary:
The Front Desk Receptionist serves as the first point of contact for visitors, clients, and staff, ensuring a welcoming and professional environment. This role involves managing the front desk operations, answering and directing calls, handling inquiries, and providing administrative support to ensure smooth daily operations.
Key Responsibilities:
- Front Desk Operations:
- Greet visitors and clients warmly, ensuring a positive and professional first impression.
- Manage visitor check-ins
- Handle incoming and outgoing mail and deliveries.
- Communication Management:
- Answer, screen, and direct incoming phone calls to appropriate departments.
- Respond to general inquiries via phone, email, or in person promptly and courteously.
- Communicate messages effectively to team members.
- Administrative Support:
- Assist with data entry, filing, and maintaining office records.
- Order and maintain office supplies to ensure the front office is well-stocked.
- Customer Service:
- Provide accurate information about the company’s services or products.
- Address and resolve minor complaints or escalate them to the appropriate team members.
Qualifications:
- High school diploma or equivalent; additional certifications in office administration are a plus.
- Proven experience as a receptionist, front desk representative, or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant office software.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Friendly and professional demeanor.
- Ability to maintain confidentiality and handle sensitive information.
Working Conditions:
- This role requires sitting for extended periods and using a computer and telephone frequently.
- The Front Desk Receptionist will work in a professional office environment with regular interaction with clients and staff.
Hours: Monday-Friday, 9 AM - 4 PM.
