Job Description

A boutique litigation firm in downtown Manhattan is seeking a Legal Secretary to join its team. The successful candidate will have experience in commercial litigation supporting multiple attorneys.


Fully onsite, Monday-Friday. Flexibility for 1 day remote after probationary period.

Salary Range: $85K-$100K with OT eligibility

Hours: 8:30am-5pm


Responsibilities:

  • Provide high-level administrative support to multiple attorneys, including drafting, editing, formatting, and producing legal documents and correspondence
  • Prepare and file pleadings and legal documents with state and federal courts, ensuring compliance with procedural rules and deadlines
  • Organize and maintain client files, both electronically and in hard copy, ensuring they are up-to-date and accessible
  • Coordinate attorney calendars, scheduling meetings, court appearances, and other key appointments, and provide timely reminders of deadlines
  • Assist with maintaining timekeeping and billing for attorneys, including entering time, reviewing pro forma bills, and preparing final billing statements
  • Manage the intake process for new client matters and ensure all relevant information is recorded for case management
  • Route incoming calls, mail, and visitors, maintaining a professional communication channel for attorneys and clients
  • Coordinate travel logistics for attorneys, including booking flights, accommodations, and transportation


Requirements:

  • Minimum of 3 years of experience as a Legal Secretary, supporting multiple attorneys in commercial litigation, preferably within an AmLaw 100 firm
  • Proven proficiency in ECF filing, docketing, calendaring, and legal procedures for state and federal courts
  • Strong organizational skills with the ability to manage competing priorities, deadlines, and multiple tasks in a fast-paced environment
  • Bachelor’s degree or equivalent work experience required
  • Proficiency in Microsoft 365 and legal document management systems
  • Willingness to work overtime and travel for trials, hearings, and other case-related events as necessary
