- The role will involve 2-3 rounds of interviews; the final round, if applicable, will be with the CEO.
- The candidate must have thick skin and be able to thrive in a fast-paced environment.
- Experience coordinating events across the different timezones is required (NYC, London, Paris, CA) is required.
- Preference for candidates with a background in media communications or the fashion industry.
- No time off will be granted during September.
- The role offers 5 weeks of work-from-home flexibility per year.
- The candidate should have experience booking international travel and managing expense accounts (e.g., Concur, Expensify, Ariba P2P).
- Strong communication skills, both written and verbal, are essential.
DESCRIPTION: Based in the New York Office, the Executive Assistant will provide administrative support to the CEO
and Partner and general administrative support to the Director of Operations and Media Relations
Team.
RESPONSIBILITIES: Calendar Management
• Direct support to CEO and Partner managing daily calendars scheduling meetings and
travel arrangements.
• Organize meetings including reserving the conference room, sending meeting invitations,
placing catering requests, etc. on behalf of all depts.
• Prepare and maintain all the agency activity calendar amongst 4 offices.
• Manage master outlook global activity calendar.
Travel and Financial Coordination
• Prepare expense reports for CEO and Partner, Media Relations.
• Book and manage travel arrangements as needed for CEO and Partner. (flights, hotels).
• Manage Media Relations Events and Project Budgets in alignment with Finance protocol.
Communication
• Manage all agency news and general department communications and follow up.
• Train new employees in agency procedures and policies.
• Serve as liaison to the Agency’s other offices and departments.
General Administration
• Maintain various organization-wide documents.
• Manage subscription accounts with oversight from Director of Operations.
• Assist Facilities Manager with various office facilities projects as needed.
• Support ad hoc project requests
REQUIREMENTS: A bachelor’s degree and a MINIMUM of 5 years of previous administrative assistant experience
supporting a senior level executive. Ability to handle sensitive information with integrity and
confidentiality. Coordinator experience a plus.
An understanding of the fashion and lifestyle spaces and a curiosity for current trends and industry
news.

Salary: 75-80k (will be salaried position)
Shift time: Monday to Friday - 8:45am-5pm
