About the Company: A top-tier finance firm headquartered in NY expanding to the West Coast is looking for an experienced and detail-oriented Office Manager to help oversee the new San Francisco office. This role is key in ensuring that the SF-based team and visitors have an exceptional experience, while also supporting the operational needs of our dynamic workspaces.
About the Role: As the Office Manager , you will be responsible for overseeing daily office operations and ensuring that our San Francisco locations are well-equipped, functional, and welcoming. You will manage everything from office logistics to supporting events, and you’ll be a go-to person for handling operational challenges. This is a great opportunity to be at the heart of our office experience while collaborating with teams across locations. In addition to the day-to-day responsibilities, you will also play a role in supporting the build-out of the permanent San Francisco office, This includes assisting with on-the-ground tasks and having the potential to be a key team member once the new office is completed.
Responsibilities:
- Office Operations: Manage day-to-day office activities, ensuring the space is well-maintained and fully operational for employees and visitors.
- Visitor & Guest Experience: Ensure smooth entry and overall first-class experience for both employees and visitors, while adhering to company policies.
- Vendor Liaison: Manage relationships with vendors (cleaners, service providers, etc.) and ensure smooth coordination of services and deliveries.
- Office Supplies & Stocking: Handle purchasing and stock pantry and office supplies, coordinating with HQ when necessary.
- Mail & Deliveries: Manage incoming and outgoing mail, deliveries, and any visitor-related needs.
- Event Support: Provide on-site support for all internal and external events in the San Francisco area, coordinating logistics and liaising with vendors.
- Facility Maintenance: Submit maintenance requests, liaise with IT/AV teams, and ensure cleanliness by supervising house cleaning staff.
- Team Support: Offer administrative support to local teams and help with the coordination of meetings, overnight stays, and office functions.
Qualifications:
- Experience: 3-5 years of office management or administrative experience, preferably in San Francisco.
- Highly Organized: Strong multitasking and problem-solving skills; able to handle a variety of tasks simultaneously.
- Hands-On & Service-Oriented: A "no task too small" attitude with a focus on service excellence.
- Tech-Savvy: Comfortable with Google Workspace, Slack, Airtable, Notion, and other productivity tools.
- Self-Motivated: Able to work independently with minimal supervision, especially when collaborating with our NYC-based team.
- Travel: Willing to occasionally travel between sites, sometimes outside regular business hours.
Compensation: $100k - 130k + Bonus + Outstanding Benefits!
