POSITION OVERVIEW: The Part Time Payroll & Scheduling Assistant of Guest Services is responsible for providing excellent guest service in all public areas of Prudential Center. This person assists the Coordinator, Guest Services with all functions relating to the Payroll and Scheduling Software. This person must have experience working with large numbers of employees and handling the payroll.
RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO THE BELOW: Scheduling Assistance - Work alongside the coordinator - Guest Services - in checking the monthly availability report of all Guest Services team members.
- Assist with running the scheduling software "ABI" to process and schedule all GS team members monthly.
- Helping with reviewing all events to check for accurate call times and staffing layouts depending on the event door times and other needs.
- Assisting with checking for all team members to be on schedule for the monthly two mandatory events.
- Answering emails in the GSTeam inbox for team member questions/concerns.
- Assist with handling Call Out/Sick Time requests via the GSTeam inbox, including removing from event schedules and adding to Person Notes.
- As needed, assist with event-based scheduling updates.
- Assist with updating the monthly event information in the Event Staff board via online platform.
- Other duties as assigned by management.
Payroll Assistance - Assist with processing payroll via ABI software.
- Auditing and helping with correcting punching in/out times based on event times.
- Processing Time request into payroll.
- Assist with monthly audits of union tiers and team member pay rates.
- Work alongside Coordinator, Guest Services to answer any payroll questions sent in via the GSTeam inbox.
- Assist with auditing the payroll after every event.
QUALIFICATIONS: - Relevant professional experience in assisting with payroll and/or scheduling.
- Preferred to have experience in both scheduling and payroll assistance.
- Experience with payroll software such as ABI is a plus.
- Experience with Microsoft Excel, is a plus.
WORKING CONDITIONS: Availability Must have a flexible schedule, with the ability to work at least three weekdays and event days (15 hours/ week approximately). Time varies from day to mid-day to evening times.
Work Environment This position generally requires that work be performed from the Prudential Center/New Jersey Devils offices, including on weekends and/or holidays, may be required.
