Job Description - Sales Operations Manager

The primary role of the Sales Operations Manager at Spherix Global Insights is to be responsible for optimizing sales processes, managing CRM systems, and providing data-driven insights to enhance sales strategies. This role will ensure seamless collaboration across departments and contribute to the success of sales initiatives by standardizing workflows, forecasting performance, and identifying growth opportunities.

Key Responsibilities

CRM & System Management
  • Oversee the implementation, configuration, and daily operation of CRM systems (e.g., HubSpot) to align with business objectives.
  • Manage CRM data integrity and quality assurance to ensure accurate and actionable insights.
  • Provide training and support to team members on CRM usage and best practices.
Process Optimization & Best Practices
  • Develop, standardize, and optimize sales processes to improve efficiency and predictability.
  • Identify bottlenecks in the sales pipeline and recommend solutions to enhance performance.
  • Scale best practices for sales efficiency, shortening the sales cycle and improving team performance.
Data Analysis & Reporting
  • Generate and maintain dashboards and reports on key performance indicators (KPIs), such as pipeline health, revenue forecasts, and win rates.
  • Analyze sales performance data to create actionable insights for leadership.
  • Partner with sales leadership to develop and align forecasting models with industry trends.
Strategic Planning
  • Support sales planning initiatives, including Territory Planning, Capacity Planning, and Quota Planning.
  • Collaborate with marketing and insights teams to integrate findings into sales strategies.
Performance Metrics
  • Track and report on critical sales operations metrics, including:
    • Average quarterly revenue per rep.
    • Average sales cycle length.
    • Forecast accuracy.
    • Win rates and selling time per rep.
  • Use CRM tools to measure and improve productivity and effectiveness.
  • Ensure revenue targets are met by tracking actual performance against full-year goals and continuously identifying risks/opportunities to the fiscal plan throughout the year.
Contract Administration
  • Customer Relationship Management:
    • Drives the initial negotiation and creation of contracts as part of closing deals or onboarding new clients.
    • Point of contact for clients from a Procurement/Legal perspective and have firsthand knowledge of the terms discussed.
  • Revenue Alignment:
    • Ensuring alignment of Contract details which directly impact deal value, payment terms, and revenue recognition
    • Ensures contracts align with the sales pipeline, forecasts, and account strategies.
  • Customization and Negotiation:
    • Works with legal and operations teams to customize terms (e.g., delivery schedules, pricing structures) to meet client needs and secure commitments.
  • Assist in Deal management via HubSpot workflow, processes and associated Master Data, MSA and SOW receipt, review, storage, reference, and other tasks as required to internal stakeholders in their day-to-day management of Deals.

Other Sales Support
  • Engage with internal stakeholders to address data needs and analytical support on an ad-hoc basis
Education & Experience
  • Bachelor's degree in Business Administration, Marketing, or a related field; advanced degree preferred.
  • 5+ years of experience in sales operations, CRM management, or a related field, preferably in market research or life sciences/biopharma industries.
  • Proficiency in CRM systems (e.g., HubSpot) and analytics tools (e.g., PowerBI, Tableau).
  • Proficiency in Microsoft Excel.
  • Strong understanding of data analysis, forecasting, and sales reporting methodologies.
  • Exceptional analytical and problem-solving abilities.
  • Strong project management skills, including planning and execution of sales initiatives.
  • Excellent verbal and written communication skills for effective collaboration and reporting.
  • Customer-focused mindset with a deep understanding of customer behaviors and segmentation.
  • Ability to work in a fast-paced, results-driven environment with a detail-oriented approach.
