Position Summary:
The HR Coordinator will play a key role in supporting the human resources department by facilitating the onboarding process for new employees, maintaining accurate employee records, ensuring compliance with employment laws, and assisting with various HR functions. This individual will also serve as a point of contact for employees and managers for HR-related queries and processes.
Essential Responsibilities:

Onboarding & Employee Records:
- Facilitate the onboarding process for new hires, including preparing offer letters, completing background check procedures, and ensuring all new hire paperwork is completed and properly filed.
- Work with hiring managers to schedule and coordinate new employees’ first day of employment.
- Ensure all employee records are accurate, up-to-date, and in compliance with legal and organizational requirements.
- Prepare and maintain new-employee files, including I-9 documentation and other onboarding forms.
- Complete Forms I-9, verify I-9 documentation, and maintain I-9 files in accordance with legal requirements.
- Updates all employee changes in all HR systems as requests and approvals come through the HR ticketing system.
- Provide ongoing support to employees by answering questions and directing issues to the appropriate departments or management as necessary.
Compliance & Legal Requirements:
- Review and ensure compliance with federal, state, and company-specific employment laws and policies, including maintaining employment law posters and handling unemployment claims.
- Assist with conducting audits of payroll, benefits, and other HR programs to ensure compliance and accuracy.
- Support HR team in ensuring that proper procedures are followed before making changes to employee records, such as transfers, terminations, and promotions.
Reporting & Documentation:
- Generate HR reports as needed, tracking key metrics such as turnover, employee status changes, and other HR-related data.
- Assist in managing the exit interview process by sending out invitations to departing employees, and providing reports or feedback based on exit interview results.
- Track and respond to employment verification requests in a timely manner.
Recruitment & Employee Support:
- Assist with recruitment efforts by tracking the status of candidates in the HRIS system, sending follow-up letters, and coordinating interview schedules.
- Provide administrative support for hiring, transfers, and terminations within the HR system of record.
- Respond to employee questions and concerns regarding HR policies, benefits, payroll, and other related matters.
Other Responsibilities:
- Maintain up-to-date employment documents and records for all employees.
- Support HR team with any additional tasks as needed to facilitate day-to-day HR operations.
Minimum Qualifications (Knowledge, Skills, and Abilities):
- Associate’s degree preferably in Human Resources, Business Administration, or a related field (or equivalent experience).
- Strong knowledge of employment laws and regulations (e.g., FLSA, EEOC, I-9 verification).
- Experience with HR software (HRIS, payroll systems, etc.).
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to handle sensitive information with discretion and confidentiality.
- Ability to work in a fast-paced environment and manage multiple priorities.
