Job Description: Temp Administrative Assistant


Job Type:

Temporary or Temp-to-Hire (6-8 weeks, with the possibility of conversion for exceptional candidates)

Location:

Streeterville, Chicago, IL

Schedule:

Full-time, Monday-Friday, 8:00 AM - 5:00 PM

Salary Range:

$25-$30/hour (Dependent on experience)

Preferred Start Date:

ASAP


Job Summary:

We are seeking a proactive and highly organized Temp Administrative Assistant to support senior leadership and ensure the smooth operation of daily office activities. The ideal candidate will excel in a fast-paced environment, demonstrating flexibility, multitasking abilities, and executive presence.


Key Responsibilities:

  1. Scheduling & Calendar Management (10%):
  • Manage calendars for senior leadership and coordinate high-volume meeting requests for students and staff.
  • Assist in planning and scheduling departmental meetings and events.
  1. Office Management (20%):
  • Handle office supply orders, facilities requests, and IT-related tasks.
  • Oversee onboarding/offboarding processes, ensuring seamless transitions.
  • Act as the point of contact for daily office operations and logistical support.
  1. Budget & Financial Administration (20%):
  • Process purchase orders, reimbursements, and payments.
  • Collaborate with colleagues to optimize financial workflows.
  1. Curriculum Support (50%):
  • Support curriculum operations by scheduling module meetings and sending session reminders.
  • Manage and distribute evaluation feedback to faculty.
  • Upload and organize session materials, such as video links and presentation slides, for educational modules.


Qualifications:

  • 3-4 years of administrative experience required.
  • Bachelor’s degree preferred; mandatory for permanent hire.
  • Strong multitasking skills with the ability to prioritize and adapt to changing priorities.
  • Excellent communication and organizational skills.
  • Ability to maintain confidentiality and exercise discretion.
