A leading real estate company in Chicago is seeking a dynamic and organized Executive Assistant to support senior leadership. This role requires a highly adaptable professional who thrives in a collaborative, fast-paced environment. The ideal candidate will be imaginative, detail-oriented, and capable of managing diverse tasks across construction, property management, and marketing functions. Responsibilities of the Executive Assistant :
- Coordinate and manage multiple calendars, schedule meetings, and ensure timely communication.
- Process construction project invoices, track payments, and follow up with vendors to resolve outstanding issues.
- Prepare and maintain contracts, purchase orders, and related documentation for construction and property management activities.
- Monitor and track building utility and electrical costs, ensuring accurate reporting.
- Provide logistical support for company events, including planning and communication with stakeholders.
- Oversee expense reports and ensure timely reimbursement and payment processing.
- Maintain and update tenant-related records, including Certificates of Insurance and contacts in Docutrax.
- Collaborate on special projects, such as updating signage and supporting marketing initiatives for property management events.
- Assist with website updates, social media coordination, and content management for Art on the Mart initiatives.
- Facilitate communication and coordination between internal teams, vendors, and tenants.
Qualifications of the Executive Assistant :
- College degree preferred.
- Previous administrative experience strongly preferred; familiarity with construction, accounting, or marketing is a plus.
- Strong organizational abilities, excellent communication skills, and proficiency in managing competing priorities.
- A collaborative mindset and a pleasant personality to work closely with another assistant in a team-oriented atmosphere.
- Imaginative and resourceful approach to problem-solving and project management.
- Proficiency in Microsoft Office Suite; experience with database management and graphic design tools is a plus.
