Global biopharmaceutical company is seeking an experienced Executive Assistant to join their NYC team. The successful candidate will have experience supporting senior leaders, ideally within the life sciences industry.
Hybrid schedule, 1-2x in office per week
Salary $100K-$115K
Hours 8:30am - 5:30pm
Responsibilities:
- Manage calendars for the Senior Vice President and functional heads, scheduling meetings, screening calls, and prioritizing needs
- Coordinate domestic and international travel arrangements, including visas and documents as needed
- Handle expenses and prepare expense reports, ensuring timely and accurate processing
- Organize and execute internal and external meetings, including logistics (room reservations, equipment setup, catering) and preparation of materials (agendas, presentations)
- Partner with legal, compliance, and finance teams to manage contracts, purchase orders, and invoices for external activities
- Work with Human Resources to schedule and coordinate onboarding and training for new hires
- Track departmental expenses against budget and assist with cost management
- Develop and manage team collaboration sites and files, ensuring efficient document storage and access
- Act as the primary contact for internal and external stakeholders and handle confidential information with discretion
Requirements:
- Minimum of 7+ years of experience supporting senior executives, preferably within the life sciences industry
- Bachelor’s Degree preferred
- Exceptional written and verbal communication skills, with the ability to interact effectively with all levels of the organization
- Proven ability to work autonomously, exercise sound judgment, and collaborate across teams
- Advanced proficiency in MS Office (Word, PowerPoint, Excel)
- Experience working in a global organization preferred
