Join a dynamic Finance team as a Senior Payroll Administrator! This fully in-office role offers you the chance to oversee payroll processing for approximately 2,500 employees, making a significant impact on the organization.
Key Responsibilities:
Payroll Management:
- Lead the preparation, documentation, distribution, and reconciliation of both domestic and international payrolls across various jurisdictions.
- Ensure the timely and accurate processing of payroll, focusing on compliance with wage and hour regulations, tax withholdings, and benefit deductions.
- Administer and enhance payroll systems, managing integrations with existing and new platforms to optimize workflows.
Auditing and Compliance:
- Perform regular payroll audits to guarantee accuracy and compliance with federal, state, and international regulations, as well as adherence to company policies.
- Stay current with payroll legislation and labor laws, implementing necessary changes to maintain compliance and best practices.
Reporting and Analysis:
- Create and deliver custom payroll reports tailored to the needs of internal and external stakeholders, including leadership and auditors.
- Collaborate with finance and HR teams to reconcile payroll data with accounting and financial records.
Employee Support and Communication:
- Act as the primary contact for payroll-related inquiries, providing timely and accurate information to employees and management.
- Educate employees on payroll policies, tax forms, and self-service tools to enhance their understanding and engagement.
Documentation and Process Improvement:
- Document payroll procedures clearly and thoroughly to ensure consistency and accuracy organization-wide.
- Continuously seek and implement process improvements to enhance efficiency and minimize errors.
Invoice Reconciliation:
- Reconcile payroll-related invoices, including benefits and third-party vendor payments, ensuring alignment with financial records and timely payments.
Collaboration and Special Projects:
- Partner with HR, IT, and Finance teams on cross-functional projects and system implementations.
- Contribute to organizational initiatives by providing payroll-related insights and participating in special projects as needed.
Qualifications:
- Bachelor’s degree in Accounting, Finance, Business Administration, Human Resources, or a related field.
- 4-7+ years of multi-state payroll processing experience, with a proven track record of accuracy and compliance.
- Experience with ADP WorkforceNow is strongly preferred.
- International payroll experience is a plus, including understanding tax treaties and foreign payroll systems.
- FPC (Fundamental Payroll Certification) or CPP (Certified Payroll Professional) certification is preferred.
- Proficiency in Microsoft Office Suite, particularly Excel, with advanced skills such as PivotTables and VLOOKUP.
- Strong attention to detail and organizational skills, with the ability to manage multiple tasks in a fast-paced environment.
- Excellent verbal and written communication skills to collaborate effectively across teams and with employees.
- Ability to maintain strict confidentiality and handle sensitive payroll data with integrity.
- A proactive, team-oriented attitude with the ability to adapt to changing business needs and priorities.
