Job Summary: Caviness Wealth Management is seeking a highly organized and detail-oriented Administrative Assistant. As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of the office and supporting the financial advisor. Your ability to multitask, prioritize tasks, and maintain a high level of professionalism will be essential to the success of this role.

Responsibilities:
- Greet clients and visitors with a warm and professional demeanor, making them feel welcome and comfortable.
- Manage phone calls, emails, and correspondence in a timely and courteous manner.
- Schedule appointments and coordinate calendars for financial advisor.
- Assist with preparing and processing client documentation and forms.
- Maintain and organize client files and records with a strong attention to detail.
- Assist in coordinating and planning client events.
- Handle administrative tasks, including data entry, filing, and scanning.
- Assist in preparing presentations and reports as needed.
- Uphold a high level of confidentiality and professionalism in all interactions.
- Provide general administrative support to ensure the efficient operation of the office.
Requirements:
- Proven experience as an administrative assistant
- Knowledge of office management systems and procedures
- Excellent time management skills and ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficient in MS Office
- Proficiency in adapting to new software programs.
- Knowledge of financial industry terminology is a plus.
Position Details:
· Part-time (with the potential to become full-time)
· 25-30 hours per week.
· Monday – Friday (some flexibility available)
· 9am – 3pm (some flexibility available)
· $25 - $30/hr (based on experience)
