Job Summary:  Caviness Wealth Management is seeking a highly organized and detail-oriented Administrative Assistant. As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of the office and supporting the financial advisor. Your ability to multitask, prioritize tasks, and maintain a high level of professionalism will be essential to the success of this role.

Responsibilities:

  • Greet clients and visitors with a warm and professional demeanor, making them feel welcome and comfortable.
  • Manage phone calls, emails, and correspondence in a timely and courteous manner.
  • Schedule appointments and coordinate calendars for financial advisor.
  • Assist with preparing and processing client documentation and forms.
  • Maintain and organize client files and records with a strong attention to detail.
  • Assist in coordinating and planning client events.
  • Handle administrative tasks, including data entry, filing, and scanning.
  • Assist in preparing presentations and reports as needed.
  • Uphold a high level of confidentiality and professionalism in all interactions.
  • Provide general administrative support to ensure the efficient operation of the office.


Requirements:

  • Proven experience as an administrative assistant
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office
  • Proficiency in adapting to new software programs.
  • Knowledge of financial industry terminology is a plus.


Position Details:

·      Part-time (with the potential to become full-time)

·      25-30 hours per week. 

·      Monday – Friday (some flexibility available)

·      9am – 3pm (some flexibility available)

·      $25 - $30/hr (based on experience)
