Job Description:
The Communication Specialist will play a crucial role in facilitating effective communication throughout the entire Program BRIDGE implementation process. This position reports to the ITS Change Management Director. It works with the Program BRIDGE management team and senior leaders to ensure that all stakeholders are well-informed, engaged, and aligned with the goals and progress of the ERP project. The Communication Specialist will also work closely with cross-functional teams, project managers, and end-users to create and execute communication plans that enhance understanding and mitigate resistance.
Responsibilities:
Develop Communication Strategies:
- Create comprehensive communication plans outlining strategies for informing and engaging various stakeholders throughout different phases of ERP implementation.
- Align communication strategies with project objectives, ensuring clear and consistent messaging.
Stakeholder Engagement:
- Identify and analyze key stakeholders impacted by the ERP implementation, including employees, management, and external partners.
- Develop targeted communication materials tailored to the specific needs and concerns of each stakeholder group.
Content Creation:
- Produce clear, concise, and compelling communication materials, including newsletters, emails, presentations, and intranet updates.
- Collaborate with subject matter experts to translate technical information into easily understandable content.
Training Support:
- Support the development and delivery of training materials related to the ERP system, ensuring effective communication of new processes and procedures.
- Coordinate with the training team to align communication efforts with training initiatives and creation of job aids.
Change Management:
- Work closely with the change management team to address resistance and promote a positive attitude towards the ERP implementation.
- Implement communication strategies to manage expectations and foster a culture of openness and collaboration.
Feedback Collection:
- Establish mechanisms for gathering feedback from stakeholders and end-users.
- Analyze feedback to identify areas for improvement in communication strategies and adjust plans accordingly.
Documentation:
- Maintain a centralized repository of communication materials, ensuring easy accessibility for all stakeholders.
- Document and communicate project milestones, updates, and achievements.
Qualifications:
- Bachelor’s degree in communication, Marketing, Business, or a related field.
- Proven experience in communication roles, preferably in ERP or IT implementations.
- Strong written and verbal communication skills.
- Familiarity with ERP systems and their implementation processes.
- Knowledge of change management principles and methodologies.
- Ability to work collaboratively with cross-functional teams.
- Excellent organizational and project management skills.
- Adaptability to a dynamic and fast-paced work environment.
