Role: Maintenance Coordinator
Reports to: Director of Property Management

SUMMARY The Maintenance Coordinator is a new position that will facilitate organization with our Communication and Maintenance Departments. This person will be the primary contact for all communication between the two teams to ensure work orders are monitored and completed, that residents and vendors are communicated with, bids are compiled, reviewed, and presented, and emergency items are monitored and pushed through to completion. This position is primarily an office-based role with frequent fieldwork to inspect facilities, oversee repairs, and meet with contractors. This position will require occasional evening or weekend availability for emergencies.
WHAT YOU'LL DO - Maintenance Scheduling and Coordination:
- Plan and schedule routine maintenance and inspections.
- Coordinate work orders and assign tasks to maintenance staff or external contractors.
- Ensure timely completion of maintenance and repair requests.
- Verify that all repairs and work orders are done according to the VareCo standard.
- Communication and Customer Service:
- Serve as the primary point of contact for tenants, communications team, maintenance team, and residents regarding maintenance issues.
- Provides regular updates on the status of work orders and repair timelines.
- Address concerns and escalate complex issues as needed.
- Vendor and Contractor Management:
- Obtain quotes and negotiate contracts with vendors for repair and maintenance services.
- Monitor the performance of external contractors to ensure compliance with service agreements.
- Record-Keeping and Reporting:
- Maintain accurate records of maintenance activities, including work orders, equipment maintenance logs, and expenses.
- Prepare reports for management on maintenance performance and costs.
- Track every work order that is submitted for the portfolio, monitor and report on completion times and KPI's.
- Compliance and Safety:
- Ensure all maintenance activities comply with health, safety, and environmental regulations.
- Conduct routine inspections to identify potential safety hazards or compliance issues.
- Inventory and Budget Management:
- Monitor and manage inventory levels of maintenance supplies and equipment.
- Assist in budgeting and cost control for maintenance operations.
- Inspections
- Coordinate and oversee City inspections, including facilitating pre-inspections before the initial inspection.
- Monitor and ensure the completion of required items before reinspection to ensure compliance and a smooth inspection process.
WHO WE'RE LOOKING FOR - Education : High school diploma or equivalent required; additional certifications in maintenance or facilities management are preferred.
- Language: Proficiency in written and spoken English is required - Proficiency in written and spoken Spanish is preferred
- Experience : 2+ years in maintenance, facilities, or similar roles; previous experience coordinating teams is a plus.
- Technical Knowledge : Familiarity with building systems (HVAC, plumbing, electrical) and preventive maintenance practices.
SKILLS WE NEED - Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in maintenance management software or tools and proficiency in Google Sheets or Excel are strongly preferred.
