Job Description
Ultimate Staffing is seeking a committed, professional Financial Advisor Assistant for a fantastic company in Frederick, MD. It is full time and fully in office. This position will pay $25-28.50 per hour depending on experience and comes with excellent benefits.

Key Responsibilities:
  • Provide daily support to Financial Advisor by preparing client communications, proposals, presentations, and detailed spreadsheets.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Manage all aspects of client accounts, including setting up new accounts, processing documentation, and organizing agreements.
  • Maintain comprehensive client records, both in physical and digital formats.
  • Monitor and resolve alerts and action items on various platforms.
  • Gain proficiency in custodial, portfolio management, and customer relationship management software systems.
  • Assist with creating client presentations, including assembling, proofreading, and preparing materials such as client books, marketing collateral, and required forms.
  • Perform administrative tasks like copying, printing, assembling, and binding materials for special projects as needed.
  • Keep client contact information up to date in the client relationship management system.
  • Contribute to process improvements by refining procedures for account setup, client file management, billing preparation, and operational tasks.
  • Perform general office duties, including answering and routing calls, sorting incoming mail, preparing outgoing mail, coordinating courier or delivery services, ordering office supplies, and maintaining office equipment.
  • Maintain compliance logs for tracking mail, checks, gifts, and other necessary documentation.
  • Support company events and functions, including offsite and after-hours activities.
Qualifications and Skills:
  • Bachelor's degree, a plus.
  • At least 2 years of experience in the financial services industry.
  • Willingness to learn new software tools and technologies; familiarity with financial services platforms preferred.
  • Strong problem-solving abilities with a proactive approach to addressing challenges and collaborating with the team as needed.
  • Excellent communication skills with the ability to articulate financial concepts effectively.
  • Adaptable and flexible in a dynamic work environment.
