Position Overview

The HR Assistant will assist with supporting the day-to-day aspects of the Talent Department which oversees all facets of internal Talent Management and the employee lifecycle (Talent Acquisition, Onboarding, Training, Learning and Development, Performance Management, Employee Relations, Benefits, Firm Culture, and overall Talent Strategy). The ideal candidate will enjoy the multi-faceted nature of the job, have a high degree of organization, flexibility, reliability, and exceptional attention to detail. This position requires excellent judgement to properly prioritize multiple, and potentially competing demands, in a fast-paced, exciting, and rapidly growing environment. A candidate must understand the need for a high degree of confidentiality.


Responsibilities

Scheduling/Calendaring

  • Manage the Talent Department team members’ calendars; schedule meetings/calls using Outlook and Zoom, arrange conference rooms with equipment, refreshments, and other logistics
  • Schedule all interviews and debrief meetings (Zoom and in person)
  • Schedule all Training/Learning and Development workshops with internal and external constituents


Administration

  • Manage all invoice processing, expense reports, and candidate reimbursement requests; interface directly with external vendors and internally with the TA Finance team
  • Coordinate travel arrangements (domestic & international), including flight reservations, hotel accommodation, car service, meals, etc.
  • Manage general office duties, such as coordinating visitors, copying/scanning, mailing/shipping materials, as needed


Organization and Project Management

  • Assist with the roll out and regular upkeep of firm’s new applicant tracking system (system implementation to begin later this year)
  • Support team with pulling presentation materials together, coordinate with 3rd party vendors, and follow up/track down information and status updates as needed, etc.
  • Support the annual review processes and help manage the administrative aspect of the HRIS
  • Assist with the coordination of recruiting events throughout the year
  • Maintain and organize Talent Management files and spreadsheets that reside outside of HRIS and ATS
  • Ad hoc Talent Management projects



Qualifications

  • Bachelor’s Degree with strong academic credentials
  • 2-4 years of post-undergraduate experience
  • Experience in recruiting/talent space is a plus, as is experience with UKG and any applicant tracking systems
  • Understanding of alternative asset management industry is a plus
  • Proficiency in Microsoft Office suite, particularly Excel and PowerPoint
