A mid-sized financial company is seeking an experienced Executive Assistant to join their NYC team. The successful candidate will have experience supporting senior leaders.
Fully on-site, Monday-Friday
Hours: 9:00am - 5:00pm
Salary: $100K-$120K
Responsibilities:
- Manage calendars for the Managing Director and senior managers, scheduling meetings, screening calls, and prioritizing needs
- Coordinate domestic and international travel arrangements, including flights, ground transportation, and hotel accommodations
- Process purchase orders (P.O.s) and invoices, working with AP and procurement as needed
- Assist in preparing presentations, reports, and special projects, consolidating supporting materials
- Organize internal meetings, including room reservations, ordering food/refreshments, and managing logistics
- Submit expense reports for senior managers and ensure timely and accurate processing
- Assist with special projects and handle confidential information with discretion
- Act as the primary point of contact for internal and external stakeholders
- Occasionally provide support to Reception when needed
Requirements:
- Minimum of 5+ years of experience supporting senior executives, preferably in finance
- Advanced proficiency in MS Office Suite, particularly Excel and PowerPoint
- Strong written and verbal communication skills, with the ability to interact effectively with all levels of the organization
- Ability to work in a fast-paced, dynamic environment, managing multiple priorities
- Highly organized with attention to detail and discretion in handling sensitive information
- Bachelor’s degree or equivalent job experience preferred
