Summary:

The Facilities Manager coordinates and directs the design, planning, construction, maintenance, and alteration of equipment, machinery, buildings, and other facilities by performing the following duties personally or through subordinates. In general, the Facilities Manager is responsible for plans, budgets, and schedules facilities modifications and maintenance including cost estimates, bid sheets, layouts, and contracts for construction and acquisitions.

Primary Responsibilities:

  • Supervise renovations and additions to the building.
  • Inspects construction and installation progress to ensure conformance to established specifications.
  • Oversees the coordination of building space allocation, layout, and communication services.
  • Inspect structure of building and determine if repairs are needed.
  • Allocate office space and organize meeting and lounge spaces.
  • Transport, dispose of, or relocate office equipment and furniture.
  • Oversees and directs contracts for janitorial services.
  • Monitor work order progress and drives quality and timeliness of completion.
  • Schedule preventive maintenance and project work.
  • Liaison between property Management Company and company management.
  • Monitors and changes HVAC system, evaluate and adjust energy expenditures.
  • Conducts preventative maintenance of all properties including but not limited to: HVAC equipment, AC monthly checkups (flushing drain line, replacing belts, inspecting coils, checking Freon levels and changing air filters); Pressure cleaning and cleaning exhaust fan; Severe weather preparation.
  • Allocate parking spaces and decals.
  • Maintain vendor relationships.
  • Oversees Warehouse safety efforts and leads safety meetings.
  • Assist corporately on all safety related functions. (i.e. safety topics, safety/equipment training.).
  • Apply all applicable OSHA, First Aid and related local safety requirements to assigned work.
  • Responsible for the fire, life and safety of the company building(s), including fire and tornado drills.
  • Responsible for Forklift training, safety, and usage guidelines.
  • Manages equipment maintenance request and maintain distribution asset list of equipment.
  • Maintains and monitors the access control database and CCTV systems.
  • Assists in maintaining the company IIP and MSDS.
  • Perform environmental hazard management/planning and remediation.
  • Required to have a strong comfort-level communicating throughout all levels of the organization.
  • Understand, support and execute all work according to the established procedures of the organization.
  • Implements and maintains department policies and standards.
  • Project based assignments as requested.


Knowledge Skills and Abilities:

  • 5 years minimum experience in construction, maintenance and all facets of facility operation, prior experience as a supervisor/manager desirable.
  • Ability to interpret documents such as procedure manuals, blueprints, schematics, charts, diagrams, etc.
  • Knowledge of local building codes and OSHA regulations, certification and recordkeeping, familiarity with all


current health and safety regulations, and experience with the compliance of all applicable regulatory agencies.

  • Knowledge of various maintenance trades.
  • Project management skills.
  • Strong written communication and verbal skills.
  • Proven ability to multi-task, set project priorities, establish department/discipline goals and objectives for self and staff.
  • Computer literacy required, including intermediate skills in Microsoft applications (i.e. Excel, Word, PPT, etc.).
  • Strong attention to detail.
  • Positive attitude, self-motivated and eager to succeed.


Supervisory Responsibilities:

  • Lead, develop and mentor a team.
  • Interviewing, selecting, and training employees.
  • Performance evaluations.


Budgetary Responsibilities:

  • Analyzing financial information to ensure all operations are within budget.
  • Presenting annual budgets to leadership team.
  • Make budgetary suggestions and execute cost-saving initiatives.
  • Meet budget submission deadlines.
