Media & Technology company seeking diligent and detail-oriented Executive Assistant to provide remote administrative support.
Responsibilities
Administrative Support
- Manage complex and dynamic calendars, including scheduling meetings, coordinating appointments, and resolving conflicts.
- Handle travel arrangements, including booking flights, accommodations, ground transportation, and preparing itineraries.
- Process and reconcile expense reports in a timely manner, ensuring compliance with company policies.
- Draft, review, and manage correspondence, emails, and documents on behalf of the SVP.
Operational Coordination
- Act as a liaison between the SVP and internal/external stakeholders, ensuring clear communication and follow-ups.
- Coordinate meetings, including preparing agendas, compiling materials, and recording action items.
- Manage and organize sensitive and confidential information with discretion.
- Provide ad hoc project support as needed, ensuring timely completion of deliverables.
Team Collaboration
- Build and maintain strong relationships with key stakeholders across the organization.
- Serve as a key point of contact for the SVP's team, ensuring alignment on priorities and timelines.
- Help facilitate team events, offsites, or special projects, coordinating logistics as required.
Qualifications
- Minimum 3-5 years of experience as an Executive Assistant, preferably in a media, entertainment, or technology environment.
- Proven ability to manage multiple priorities and deadlines in a fast-paced, dynamic environment.
- Excellent written and verbal communication skills.
- High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Zoom, Slack).
- Strong organizational skills with exceptional attention to detail.
- Ability to handle confidential and sensitive information with the utmost professionalism.
- Experience working with senior executives and managing complex schedules is essential.
