Job Description: Bilingual Human Resources/Administrative Assistant

Location: Reno, NV

Position Type: Full-Time, 7-Month Contract (Onsite)

Compensation: $20 - $27/hr. (D.O.E.)

Spanish/English fluency required

We are seeking a Human Resources/Administrative Assistant for a 7-month contract full-time role based in Reno, NV . The ideal candidate will have a strong attention to detail, the ability to multitask. This position requires strong communication, organizational, and technical skills, along with the ability to work independently and as part of a team in a fast-paced office environment.

Key Responsibilities:

  • General Office Support: Assist with general office tasks, including updating and maintaining hiring platforms, managing supply ordering, and organizing office space.
  • Human Resources Support: Help with data entry , applications, onboarding, and other HR-related administrative tasks. Assist with the hiring process and ensure new hire packages are updated.
  • Vendor & Employee Relations: Foster positive relationships with vendors, employees, and applicants. Answer and transfer calls to appropriate departments and assist with any inquiries.
  • Confidentiality & Compliance: Maintain confidentiality of sensitive employee, coworker, and vendor information in compliance with Federal and State laws.
  • Billing & Invoicing: Process, enter data, cost code, and route invoices with extreme attention to detail and efficiency. Track work hours and billable rates for temporary labor vendors.
  • Payroll Support: Collect and reconcile timecards for payroll processing. Ensure the accuracy of payroll records.
  • Onboarding & Hiring: Coordinate the onboarding process for new hires and assist applicants when needed. Maintain and update new hire packages.
  • Administrative Tasks: Support other departments with tasks such as scanning, filing, printing, mailing, and translating documents when required.
  • Maintain Office Organization: Keep the front office and common areas tidy and organized. Assist with maintaining an efficient workflow and office environment.

Skills & Qualifications:

  • Bilingual: Proficient in both English and Spanish (preferred).
  • Attention to Detail: Strong ability to work efficiently and quickly while maintaining accuracy.
  • Multitasking: Capable of switching between tasks quickly and managing multiple priorities at once.
  • Communication Skills: High level of reading, writing, spelling, and verbal communication skills.
  • Computer Skills: Proficient in Microsoft Excel and Word ; ability to learn new programs quickly.
  • Experience: Minimum of two years of related experience (administrative or HR support).
  • Education: High School diploma or GED Equivalent required.
  • Physical Requirements: Ability to stoop, kneel, lift up to 50 pounds, and sit/stand for extended periods. Ability to walk briskly and handle physical tasks such as operating a computer, scanner, printer, and phones.
  • Mental Requirements: Strong general understanding of math, accounting, and communication skills, with the ability to work efficiently under pressure.
  • Work Ethic: Must maintain professionalism, reliability, creativity, and good judgment at all times.
