Exciting opportunity for a Firm Administrator in Minneapolis, MN! The successful candidate will be an integral part of our client's leadership team, overseeing various facets of firm operations from Human Resources, Operations and Finance. This role is critical in maintaining efficient operations and retaining critical talent and ensuring clients receive excellent service.
Responsibilities Include:
Human Resources
Firm Administrator is responsible for practice support staff as well as administration staff and has broad responsibility for the human resources function and administration in partnership with the Board of Directors.
- Benefits Administration
- Manage open enrollment
- 401k Plan Administration, Census and Annual Filings
- FSA and HRA administration, filings, reporting
- Prepare staff performance evaluations
- Oversee payroll processes
- New employee recruiting and onboarding
- Manage termination processes
Firm Operations
Firm Administrator is responsible for smooth daily functioning of the firm. This includes systems, people and process management in partnership with Board of Directors.
- Coordinate staff: manage PTO coverage, work with attorneys to determine appropriate staffing levels, identify training opportunities, mange workflows
- IT vendor management
- IT troubleshooting and back-up
- Systems administration and liaison with vendors (WestLaw, Odyssey, ProLaw etc.)
- Landlord relationship management
- Manage various insurances and related reporting
- Maintain subscriptions and licenses
- Manage incoming and outgoing file transfers, review new files
Firm Finance
Firm Administrator oversees a small team to aid in aspects of firm finances, but is ultimately responsible to managing financial aspects of the firm in conjunction with Board of Directors and banking partners.
- Accounts receivable/payable
- Manage relationship with bank, act as liaison
- Manage bank accounts
- Prepare annual corporate reports
- Prepare firm financial reports for board meeting and various committees
- Manage Annual Review process with accounting partners
- Oversee client billing and collections processes
- Prepare and present annual budgets
- Reconcile client costs advance
- Manage operating expenses
- Prepare manual 1099’s for real estate transactions, stock forfeitures, etc.
- Aid in insurance company audits
Requirements
- Bachelor’s degree
- Minimum 5 years of experience law firm administration employment in similar size firm (approx. 40-45 employees)
- Demonstrated ability to thrive in fast-paced workplace
- Superior communication ability
- Strong organizational skills
