Job Description
The Virtual Mail Delivery Ops Specialist plays a vital role in ensuring seamless mail digitization services, enabling customers to access their mail remotely. This onsite position involves receiving, sorting, scanning, and processing mail accurately and efficiently. You will be instrumental in maintaining the flow of mail across receiving and processing sites and ensuring timely service delivery.
In this role, you will collaborate with team members to enhance operational efficiency, resolve issues, and contribute to process improvements.
Duties and Responsibilities
• Receive, sort, scan, pack, ship, and process mail with accuracy and timeliness.
• Digitally assign mail items to customer accounts promptly.
• Investigate and resolve delivery chain discrepancies.
• Collect, proof, and analyze operational data, such as digital delivery and shipping records.
• Assist in training Virtual Mail Agents and supporting team operations as needed.
• Collaborate with management on production and work distribution coordination.
• Adhere to safety policies and the company's Code of Conduct.
• Serve as a backup contact for office-related issues and assist partners, vendors, and couriers with inquiries.
Required Experience/Skills
• High School Diploma or equivalent.
• 1 year of experience in a mailroom, data entry, or light industrial environment.
• Strong communication skills (verbal and written).
• Proficiency in Google Sheets and spreadsheet analysis.
• Ability to identify and address operational issues effectively.
Nice-to-Haves
• Interest in the legal services industry.
• Familiarity with mail sorting and scanning equipment.
• Knowledge of postal regulations and procedures.
Education
