Client services administrators' role is to ensure a seamless customer experience by facilitating requests and delivering administrative support to assigned office location clients for our financial advisors.
Duties include the following listed below:
Support Clients:
• Handling of all inbound requests (email/phone); assisting clients directly when possible
• Provide a welcoming in-office environment for clients by handling visits with professionalism and connecting client visitors to appropriate team members.
• Maintain and update account information for all clients via outreach/follow-ups directly to clients when necessary.
• Monitor, complete, or schedule annual RMDs
Prepare for Client Reviews:
• Schedule client reviews.
• Create all agendas, run reports, etc.
• Conduct research to identify any outstanding tasks or action items (e.g., RMDs, NWS, etc).
• Support preparation for client meetings by ensuring all documentation for the discussions is ready in advance of the meeting. As an example, this may include the preparation of meeting agendas, financial plans, and portfolio statements.
Operational Support:
• Ensure efficient office operations by owning/executing office clerical duties, including but not limited to scanning/copying, faxing, mailing, etc.
• Enter client information into the CRM database daily.
• Monitor client database (Orion) to ensure data integrity and accuracy.
• Ensure all client files are complete and compliant with regulatory legislation.
• A strong company presence by assisting where/when needed for client-facing events.
