Job Description

We are seeking a skilled and detail-oriented professional to manage payroll and benefits administration across multiple platforms. This role is critical in ensuring accuracy, compliance, and efficiency in payroll processing and employee benefits management. The ideal candidate will possess a strong knowledge of ADP Workforce Now, payroll and tax regulations, and benefits legislation, coupled with exceptional organizational and interpersonal skills. Key Responsibilities:

Payroll Administration

  • Oversee configuration and maintenance of payroll systems in ADP Workforce Now, ensuring alignment with organizational needs.
  • Manage all payroll data from employee onboarding to termination, including setup for new hires, timekeeping, benefits administration, and pay changes.
  • Review and audit timecard data, resolving discrepancies with relevant managers before processing.
  • Administer and update payroll-related changes such as promotions, salary adjustments, status updates, and deductions.
  • Process payroll accurately and on time for employees across Illinois, Indiana, and Wisconsin, including additional compensation such as incentives, bonuses, and retroactive pay.
  • Prepare payroll reports for bookkeeping, ensuring balanced documentation
  • Monitor and verify federal and state tax payments handled by ADP Tax Services, ensuring compliance.
  • Calculate and submit 401(k) contributions and employer match amounts to the plan provider promptly.
  • Respond to employee inquiries related to payroll, policies, and benefits.
  • Support audits related to payroll, 401(k), and workers’ compensation.
  • Annually calculate and update PTO accruals.


Benefits Administration

  • Manage and update benefit plans in ADP Workforce Now, including medical, dental, vision, life insurance, disability, and 401(k).
  • Communicate benefit options to newly eligible employees, guiding them through enrollment processes.
  • Process benefit elections and maintain accurate records for payroll deductions and billing audits.
  • Work closely with brokers and vendors during open enrollment to implement plan changes and update systems.
  • Ensure compliance with benefits legislation, such as the Affordable Care Act, and prepare required documentation (e.g., Forms 1094 and 1095-C).


Qualifications

  • High school diploma or equivalent; some college coursework preferred.
  • Minimum of three years of experience in payroll and benefits administration.
  • Expertise in ADP Workforce Now, including payroll, timekeeping, HR, and benefits modules.
  • Comprehensive knowledge of payroll laws, tax regulations, and benefits administration.
  • Proficiency in Microsoft Office, especially Excel, Outlook, and Word.
  • Familiarity with U.S. benefits legislation (Affordable Care Act).
  • Exceptional attention to detail and accuracy in data handling.
  • Strong time management, organizational, and problem-solving skills.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Effective written and verbal communication skills.
  • Proven ability to work collaboratively and build strong relationships within and outside the organization.
