We are seeking a highly organized and personable Administrative Assistant to join our team. This front-desk role is the first point of contact for visitors and calls, requiring a professional, friendly, and proactive approach. The ideal candidate will be involved in a wide range of administrative tasks, ensuring smooth office operations and supporting the Research team.
Key Responsibilities:
- Answer and direct incoming calls, greet guests, and maintain a welcoming office environment.
- Liaise with building management and vendors for office-related needs, including ordering supplies and securing key fobs.
- Assist the Research team with scheduling and managing calendars efficiently.
- Coordinate both domestic and international travel, including flights, accommodations, and itineraries.
- Process and track expenses, ideally using Concur, and support general administrative functions such as stocking the kitchen and managing office supplies.
Requirements:
- 2+ years of administrative assistant experience
- Previous experience in a financial services firm is required.
- Detail-oriented with experience in calendar management, expense reporting, and front-desk operations.
- Proficiency in Concur for expenses is highly preferred.
- Friendly, approachable, and able to interact professionally with executives, vendors, and building management.
- Ability to multitask and prioritize in a fast-paced environment.
