We are seeking an exceptional Senior Executive Assistant to support the CEO of a Financial Services firm.
This role will provide comprehensive administrative support, managing a wide range of responsibilities and ensuring that the CEO’s time and priorities are optimized.
The ideal candidate will be highly organized, proactive, and possess strong communication skills, with a solid understanding of the financial services industry. This is a high-level role that requires discretion, initiative, and the ability to handle sensitive and confidential information, be extremely organized and be able to provide white glove service with a friendly smile!
Your Role:
- Manage the CEO’s calendar, including scheduling and prioritizing appointments, meetings, and travel. Ensure the CEO’s time is utilized effectively.
- Act as a liaison between the CEO and internal/external stakeholders, handling phone calls, emails, and other forms of communication with professionalism and discretion.
- Organize complex domestic and international travel arrangements, including flight bookings, hotel accommodations, and itineraries, ensuring seamless travel experiences.
- Prepare agendas, materials, and presentations for meetings. Take meeting minutes and ensure follow-up on action items as required.
- Assist with the planning and execution of strategic initiatives, including tracking progress and maintaining deadlines for ongoing projects.
- Draft, proofread, and edit documents, presentations, and reports for the CEO. Maintain and organize files, ensuring that critical documents are readily accessible.
- Handle sensitive and confidential information with the highest degree of discretion and professionalism.
Qualifications:
- 5+ years of executive assistant experience, preferably in a financial services, banking or investment management industry.
- Bachelor’s degree in Business Administration, Finance, or a related field (preferred).
- Exceptional organizational and time-management skills
- Strong verbal and written communication skills
- Ability to handle multiple tasks and competing priorities
- High level of discretion and ability to maintain confidentiality
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Friendly demeanor, ability to provide a concierge style service
- Strong attention to detail and accuracy
