We are an innovative and mission-driven biotech company based in Boston, MA. With a team of approximately 40 full-time employees and a handful of contractors, we are seeking a highly organized and detail-oriented Payroll Administrator to join our growing operations team.
Position Overview:
The Payroll Administrator will be responsible for processing and managing bi-weekly payroll, maintaining employee records, administering contractor payments, and ensuring compliance with applicable labor laws and internal policies. Experience using Gusto is essential, as it is our current payroll platform.
Key Responsibilities:
- Manage bi-weekly payroll processing for approximately 40 full-time employees and a small number of 1099 contractors via Gusto
- Ensure accurate data entry and updates in Gusto, including new hires, terminations, compensation changes, benefits deductions, and tax withholdings
- Review and verify timesheets (if applicable), PTO balances, and hours worked
- Collaborate with HR to maintain accurate employee data and support onboarding/offboarding processes related to payroll
- Generate and distribute payroll reports and summaries for Finance and HR
- Ensure compliance with federal, state, and local payroll regulations and tax filings
- Manage payroll-related inquiries from employees and resolve issues in a timely manner
- Support annual audits, benefits reconciliation, and reporting for workers’ comp, 401(k), and other programs
- Process year-end W-2s, 1099s, and other tax documents
- Provide support for special projects and process improvements related to payroll and HRIS
Qualifications:
- Bachelor’s degree in Accounting, Finance, HR, or related field preferred
- 2+ years of payroll administration experience, preferably in a high-growth startup or biotech/life sciences environment
- Hands-on experience with Gusto is required
- Familiarity with payroll taxes, wage and hour laws, and payroll compliance practices
- Strong attention to detail and accuracy
- Excellent organizational and time management skills
- Ability to handle sensitive information with discretion and confidentiality
- Proficiency in Microsoft Excel and Google Workspace
